Terms and Conditions: Australian Antarctic Research Conference 2024

The following terms and conditions apply to your registration for, admission to, and continued attendance at the Australian Antarctic Research Conference (AARC):

Payment

Full payment of the registration fee, applicable GST, and all other monies due and payable in connection with your attendance at AARC must be made:

  •  by credit card when you submit your application to register; or
  •  if you submit your application to register for this event at least 30 days before the commencement of AARC and request an invoice, by credit card or electronic funds transfer, within 14 days of the invoice date.

Cancellation by Attendee

You may cancel your registration, by notifying Leishman Associates by email.  If you do not receive acknowledgement by email within two business days, please contact Leishman Associates on (03) 6234 7844.  You will only be entitled to a refund or partial refund as set out below:

  • more than 60 days before AARC commences a cancellation fee of $100.00 (including GST) applies
  • less than 60 days and more than 30 days before AARC commences a cancellation fee of one half of the full cost of your registration

You may cancel your registration after 5pm on the date that is 30 days before AARC commences, but you will not be entitled to a refund. 

Cancellation, Postponement or Amendments by the Organisers

UTAS or Leishman Associates may cancel or postpone AARC at any time, for any reason. You will be notified by email if this occurs and you will be refunded all monies paid to date.

If AARC is postponed, and you advise you cannot or do not wish to attend on the new date, you may cancel your registration by notice to Leishman Associates by email. If you advise you wish to attend on the new date, the monies you have paid as your registration fee will be retained. If you do not notify Leishman Associates that you wish to attend the conference as postponed within the period specified when notice of postponement is given, your registration will be cancelled unless otherwise agreed in writing, and all monies paid to date will be refunded.

While AARC organisers will make reasonable endeavours to stage the conference as advertised, you agree that changes to dates, venue and the program may occur. If any changes occur to the conference as advertised, reasonable endeavours will be made to arrange for reasonable substitutes, subject to availability and the circumstances that made the change(s) necessary or desirable.  Notice of substantial and material changes will be placed on this website.  You are responsible for checking for such notifications/alerts prior to the conference.

Compliance with venue terms and conditions

You must at all times comply with the terms and conditions of entry to each venue connected with AARC, and with any lawful directions given by its authorised personnel.

Behaviour
At all times during AARC you must: 

  •  Comply with UTAS Behavioural Procedure
  •  In the event you do not act in accordance with the Procedure or are otherwise exhibiting behaviours that is not consistent with the behaviour expected at the event, the event organiser in discussion with UTAS, has the right to remove you from the premise or refuse access.

Photography and videography/filming

By registering, you acknowledge and consent that during their attendance at the conference your image or voice may be recorded via video, photograph or by any other means by an official of the conference which may be distributed or published at the discretion of the conference organisers. If you do not wish to be recorded, you are required to formally advise the conference organisers in advance by email.

Privacy 
You consent to Leishman Associates collection, use and disclosure of your personal information, including sensitive information as defined in the Privacy Act 1998 (Cth), as set out in Leishman Associates Privacy Policy. You acknowledge that you have accessed those documents by the links provided in this website. You consent to Leishman Associates disclosure of your personal information, including "sensitive" personal information to the UTAS and to Suppliers, to the extent considered necessary or desirable to enable them to provide appropriate goods or services to you.





Acknowledgement of Country

We acknowledge the muwinina people, the traditional owners of the Land upon which we work, and we pay our respect to Aboriginal Elders; past and present. We respect all Tasmanian Aboriginal people, their culture and their rights as the first peoples of lutruwita.
